Terms & Conditions

Last updated: 31 August 2026

These Terms & Conditions apply to bookings and experiences operated by The Panic Room in Gravesend, including escape rooms and other leisure and entertainment activities offered through our website, booking system or directly by our team.

Please read these terms carefully before making a booking.

By completing a booking, you confirm that you have read and agree to these Terms & Conditions on behalf of yourself and, where applicable, the other members of your group.

Nothing in these Terms & Conditions affects your statutory rights.

The Panic Room operates experiences from multiple locations in Gravesend.

The location applicable to your experience will be shown during the booking process and/or within your booking confirmation. Customers are responsible for checking this information before travelling.

2. These Terms

These Terms & Conditions apply to venue-based and mobile leisure experiences booked directly with The Panic Room, whether booked online, by telephone, by email or directly with our team.

Certain products or services, including physical goods, digital products, corporate events, venue hire, mobile events or services provided by third parties, may be subject to additional or separate terms.

Where specific conditions are shown on an individual experience, promotion, voucher, event proposal or booking confirmation, those specific conditions will also form part of your booking.

If a specific booking condition conflicts with these general Terms & Conditions, the specific condition will normally take priority for that booking.

We may update these Terms & Conditions from time to time.

The terms applying to your booking will normally be those in force when your booking was made.

3. Making a Booking

A booking is confirmed when:

  • the required payment or deposit has been received; and

  • we issue confirmation of the booking.

Please check your confirmation carefully as soon as you receive it.

You should contact us promptly if any information is incorrect, including:

  • date;

  • time;

  • experience;

  • participant numbers;

  • venue;

  • contact details; or

  • any additional products or services purchased.

The person making the booking is responsible for providing accurate information and for ensuring that all members of their group are made aware of:

  • these Terms & Conditions;

  • the correct venue;

  • arrival requirements;

  • age restrictions;

  • accessibility information;

  • safety requirements; and

  • any experience-specific conditions.

The person making the booking must be at least 18 years old or otherwise legally capable of entering into the booking contract.

Bookings are subject to availability.

We reserve the right to correct genuine pricing, availability or administrative errors before a booking has been confirmed.

If a genuine error is identified after payment has been taken, we will contact you and explain the available options.

4. Prices and Payment

Prices will be displayed through our website, booking system, quotation or other booking communication before your booking is completed.

Unless stated otherwise, prices shown to consumers include applicable VAT and any compulsory charges.

Some experiences are priced according to the number of participants.

Where this applies, changing the number of participants may affect the total amount payable.

Payment requirements vary depending upon the booking.

We may require:

  • full payment at the time of booking;

  • a deposit followed by a balance payment; or

  • another payment arrangement agreed in writing.

Where a balance remains outstanding, it must be paid by the deadline shown in your booking confirmation or otherwise agreed with us.

Where payment remains overdue, we may suspend or cancel the booking after giving reasonable notice.

Any cancellation resulting from non-payment remains subject to these Terms & Conditions.

5. Group Sizes, Participant Changes and Capacity

Every experience has a minimum and/or maximum capacity.

These limits are displayed on the relevant experience or booking page and exist for operational, safety and experience-quality reasons.

We cannot exceed the stated maximum capacity.

When a booking is made, we reserve the relevant:

  • experience;

  • time slot;

  • venue capacity;

  • staffing;

  • equipment; and

  • other resources

for your group.

Fewer people attending

If fewer people attend than were originally booked, the booking price will not normally be reduced and no cash refund will normally be provided for non-attending participants.

The reserved capacity has already been removed from sale and staff and other resources may have been allocated based upon the original booking.

Where a reduction in participant numbers would otherwise create a remaining balance or unused value, we may, at our discretion, allow some or all of that value to be:

  • transferred towards another experience;

  • retained as customer credit; or

  • issued as a The Panic Room gift voucher.

Any credit or gift voucher offered in these circumstances is an alternative arrangement and does not create an entitlement to a cash refund.

Additional participants

Where additional participants are permitted and this increases the booking price, the additional balance must be paid before participation unless otherwise agreed.

All participant changes remain subject to the minimum and maximum capacity of the experience.

Nothing in this section affects any refund or remedy which you are legally entitled to because of something we have done or failed to do.

6. Customer Cancellations

Bookings with The Panic Room are predominantly for live leisure and entertainment experiences taking place on a specific date and at a specific time.

When your booking is confirmed, that capacity is reserved for you.

We may allocate staff, hosts, performers, equipment, consumables and venue resources specifically to your booking.

For bookings relating to leisure activities taking place on a specific date or during a specific period, the normal statutory 14-day cancellation or cooling-off period which applies to many online purchases does not generally apply.

Bookings are not automatically refundable

A customer choosing to cancel a confirmed booking does not automatically create an entitlement to a refund.

Where a customer cancels, we may retain amounts reasonably required to cover losses resulting from that cancellation.

This can include circumstances where:

  • the booking slot cannot reasonably be resold;

  • staff have already been scheduled;

  • resources have already been committed;

  • consumables or materials have been purchased or prepared;

  • administration or payment costs have been incurred; or

  • the cancellation occurs too close to the booked date for us reasonably to replace the booking.

When considering whether any refund is due, we may take into account:

  • how much notice was provided;

  • whether we are able to resell the booking;

  • costs already incurred;

  • staffing costs;

  • materials and consumables;

  • costs saved because the booking will no longer take place; and

  • reasonable steps available to reduce our loss.

Credit, gift vouchers and alternative arrangements

Where you ask to cancel a booking, we may choose to offer an alternative arrangement such as:

  • moving the booking;

  • customer credit;

  • a gift voucher;

  • transfer to another experience; or

  • another reasonable alternative.

Where an alternative arrangement is offered as a discretionary accommodation of a customer-requested cancellation, we may offer credit or a gift voucher instead of a cash refund.

Credit or vouchers issued as a result of a voluntary cancellation or booking change are not redeemable for cash.

Nothing in this section affects a statutory entitlement to a cash refund where one exists because we have cancelled the service, failed to provide the service as agreed or otherwise breached your consumer rights.

7. Changes and Rescheduling Requested by the Customer

Once a booking has been confirmed, the date, time, experience and capacity have been reserved for you.

We understand that plans can change and will try to accommodate reasonable requests where possible.

However, there is no automatic right to change or reschedule a confirmed booking.

Any change or rescheduling request is subject to:

  • reasonable notice;

  • availability;

  • operational requirements;

  • staffing requirements;

  • the conditions of the booked experience;

  • any costs already incurred; and

  • our agreement.

Where we agree to move a booking, the payment already made will normally be transferred to the replacement booking rather than refunded.

Difference in booking value

If the replacement booking costs more than the original booking, the difference must be paid.

If the replacement booking costs less than the original booking, the difference will not normally be refunded in cash.

At our discretion, the remaining value may instead be:

  • retained as customer credit;

  • issued as a gift voucher;

  • transferred towards another activity; or

  • otherwise credited against a future booking.

The same principle may apply where we agree to:

  • reduce participant numbers;

  • remove an optional extra;

  • transfer to a lower-priced activity; or

  • otherwise reduce the value of a booking at the customer’s request.

Where an outstanding balance exists because a booking has been amended, we may agree to convert some or all of that value into customer credit or a gift voucher rather than issuing a refund.

Credit and gift vouchers issued in these circumstances are not exchangeable for cash unless required by law.

Promotional bookings

Promotional discounts may not transfer to a replacement booking where the replacement date, time, experience or group no longer meets the conditions of the original promotion.

Repeated rescheduling

We reserve the right to refuse repeated changes.

Where a booking has already been rescheduled once, further changes may be refused or may be subject to additional conditions.

Any rescheduling, credit or voucher offered by us does not create an automatic entitlement to the same treatment for future bookings.

Nothing in this section limits any statutory remedy which you are legally entitled to receive.

8. Arrival Times and Late Arrivals

The Panic Room operates scheduled live entertainment experiences.

Customers are responsible for arriving at:

  • the correct venue;

  • on the correct date; and

  • at the required arrival time.

For most experiences, we recommend arriving approximately 15 minutes before your scheduled start time.

This allows time for:

  • check-in;

  • waivers or administration where applicable;

  • safety information;

  • toilet visits;

  • equipment preparation; and

  • experience briefing.

Your scheduled start time is the time at which your booked activity is intended to begin. It is not the recommended arrival time.

Late arrivals

Bookings cannot normally be delayed because a group arrives late.

Doing so may affect later customers, staff schedules and the operation of the venue.

If you arrive late, we may make reasonable efforts to allow you to participate where operationally possible.

However, your experience may be affected.

Depending upon the activity and how late you arrive:

  • your briefing may be shortened;

  • your experience may begin immediately;

  • the available playing time may be reduced;

  • parts of the experience may need to be removed; or

  • the experience may be cancelled entirely if there is no longer sufficient time to operate it properly or safely.

Your booked end time will not normally be extended because you arrived late.

For example, if a booking occupies an allocated time slot and your group arrives 20 minutes late, that time may be deducted from the experience.

Late arrival does not create a refund entitlement

A late arrival does not entitle the customer to a refund, partial refund, additional playing time, customer credit, gift voucher or free rescheduling.

The company has already:

  • reserved the relevant time slot;

  • allocated venue capacity;

  • arranged staffing;

  • incurred operating costs; and

  • prevented the booked capacity from being sold to another customer.

As a general guideline, arrival 15 minutes or more after the booked start time may result in the experience being significantly reduced or cancelled.

The exact point at which this becomes necessary depends upon the activity and operational circumstances.

Where a customer arrives so late that the experience can no longer reasonably take place, the booking will be treated as a no-show.

9. No-Shows

If you do not attend your booking, the booking will be treated as a no-show.

A booking may also be treated as a no-show where you arrive so late that there is no longer sufficient time for the experience to be delivered safely or reasonably.

No-shows are non-refundable

No refund will be provided for a no-show.

No-show bookings will also not normally be entitled to:

  • customer credit;

  • a gift voucher;

  • rescheduling;

  • transfer to another activity; or

  • another replacement booking.

This is because the booking relates to a scheduled live event.

By the time the customer fails to attend:

  • the experience has been reserved for that customer;

  • the capacity has been withheld from other customers;

  • relevant staffing costs have already been incurred;

  • venue and operating resources have been committed; and

  • the booked live event can no longer reasonably be sold to another customer.

The same principle applies where individual members of a group fail to attend.

No refund will normally be provided for individual non-attendees.

Exceptional circumstances

We recognise that genuine emergencies and exceptional circumstances can occur.

At our sole discretion, we may choose to offer:

  • rescheduling;

  • customer credit;

  • a gift voucher; or

  • another goodwill arrangement

following a missed booking.

Any goodwill arrangement is entirely discretionary and does not create an entitlement to a cash refund.

Offering an exception on one occasion does not oblige us to provide the same arrangement to another customer or future booking.

Nothing in this section removes any refund or remedy which must be provided by law where the failure to provide the experience was caused by us rather than the customer.

10. Incorrect Venue

The Panic Room operates from multiple locations in Gravesend.

The location of your experience will be shown during booking and/or in your booking confirmation.

Customers are responsible for checking their booking information and travelling to the correct venue.

Arriving at the wrong location does not automatically entitle you to:

  • additional playing time;

  • a delayed start;

  • rescheduling;

  • credit; or

  • a refund.

We will assist where reasonably possible, but if travelling to the incorrect venue causes you to arrive late, the late-arrival provisions within these Terms & Conditions will apply.

11. Age Restrictions and Children

Age recommendations, restrictions and supervision requirements vary between experiences.

The requirements applicable to your booking will be displayed on the relevant experience page, booking information or confirmation.

Where an experience requires children or young people to be accompanied by an adult, the required responsible adult must comply with the applicable supervision requirements.

Parents, guardians, teachers, carers and group leaders remain responsible for the general behaviour and supervision of children or vulnerable members of their group unless we have specifically agreed otherwise.

We reserve the right to refuse participation where:

  • an age requirement has not been met;

  • required adult supervision is not present; or

  • allowing participation would create an unreasonable safety concern.

Where participation is refused because the customer has failed to comply with a clearly stated age or supervision requirement, a refund will not normally be provided.

12. Safety

The safety of customers and staff is important to us.

Customers must:

  • follow instructions given by our staff;

  • pay attention to safety briefings;

  • comply with displayed safety notices;

  • use equipment only as instructed;

  • remain within authorised customer areas;

  • wear required safety equipment;

  • behave responsibly; and

  • immediately report accidents, injuries, damaged equipment or safety concerns.

Customers must not deliberately interfere with:

  • safety equipment;

  • emergency equipment;

  • fire exits;

  • electrical equipment;

  • locks or mechanisms not intended to be manipulated;

  • fixtures or fittings; or

  • staff-only equipment.

Some activities may involve:

  • physical movement;

  • darkness;

  • flashing or changing lighting;

  • loud noises;

  • theatrical effects;

  • confined spaces;

  • physical props;

  • paint;

  • virtual reality;

  • projectiles or throwing activities; or

  • other interactive elements.

Relevant information about accessibility or activity requirements is available through our website or by contacting us.

Customers are responsible for deciding whether an activity is suitable for them based upon the information reasonably provided.

If you have an accessibility requirement or concern about participation, please contact us before your visit.

We will make reasonable efforts to provide appropriate information and reasonable adjustments where applicable.

13. Alcohol, Drugs and Impairment

Customers must not participate where they are intoxicated or materially impaired by:

  • alcohol;

  • illegal drugs;

  • medication; or

  • another substance

to a degree which creates a safety concern.

We may refuse admission or terminate participation where we reasonably believe a person’s condition presents a risk to:

  • themselves;

  • other customers;

  • our employees;

  • our property; or

  • the safe operation of an experience.

Where participation is refused or terminated because of the customer’s own intoxication, impairment or unsafe behaviour, no refund will normally be provided.

14. Behaviour Towards Staff and Other Customers

We operate a zero-tolerance approach to:

  • threatening behaviour;

  • violence;

  • harassment;

  • discriminatory abuse;

  • intimidation;

  • serious verbal abuse; and

  • deliberately dangerous behaviour.

Customers must behave reasonably towards staff and other visitors.

We may refuse admission, terminate an experience or require a person to leave our premises where their behaviour is abusive, dangerous, seriously disruptive or otherwise unacceptable.

Serious incidents may be reported to the police or another appropriate authority.

Where an experience is terminated because of the behaviour of a customer or member of their group, no refund will normally be provided.

15. Damage to Property

Customers must treat our venues, sets, props and equipment with reasonable care.

Our experiences are interactive and we recognise that normal wear and accidental contact will occur.

Customers will not be charged for ordinary wear and tear arising from the proper use of an experience.

However, we may seek the reasonable cost of repair or replacement where property has been damaged:

  • deliberately;

  • recklessly;

  • through wilful misuse; or

  • through failure to follow clear staff instructions.

Serious deliberate damage may also result in removal from the venue and/or referral to the police.

16. Personal Belongings

Customers remain responsible for their own personal belongings while visiting our venues.

Where lockers or storage areas are provided, customers should use them where instructed.

Customers should avoid taking unsuitable belongings into experiences where there is a foreseeable risk of loss or damage.

We are responsible for loss or damage where this results from our negligence or another breach of our legal obligations.

We are not responsible for losses which:

  • were not caused by us;

  • could not reasonably have been foreseen; or

  • arise from the customer’s failure to take reasonable care of their belongings.

17. Recording, Photography and Spoilers

Many of our experiences rely upon puzzles, surprises, theatrical effects, set pieces and other proprietary creative content.

Unless expressly permitted, customers must not:

  • photograph;

  • video record;

  • livestream;

  • audio record; or

  • otherwise reproduce

restricted areas or confidential elements of an experience.

Customers must follow any instructions given by staff regarding phones, cameras or recording equipment.

We ask customers not to publicly reveal puzzle solutions, codes, answers or substantial spoilers which could materially spoil the experience for future participants.

Nothing in this provision is intended to prevent customers from providing genuine reviews, criticism or feedback about their experience.

Our original:

  • experience designs;

  • branding;

  • graphics;

  • puzzles;

  • written materials;

  • videos;

  • audio;

  • game mechanics; and

  • other creative content

remain the intellectual property of The Panic Room or the relevant rights holder.

18. Customer Photographs

Our team may offer to take photographs before or after an experience.

You are not required to participate in photography.

Where we wish to use an identifiable customer’s photograph for promotional, advertising or social media purposes, we will obtain appropriate permission.

Additional care will be taken where photographs contain children, and appropriate permission will be sought from a parent, guardian or responsible organiser where required.

CCTV used for security, safety or crime prevention is dealt with separately under our Privacy Policy and applicable data protection law.

19. Gift Vouchers

Gift vouchers are subject to the validity period and restrictions clearly displayed when purchased or issued.

Unless otherwise stated:

  • vouchers must be redeemed within their stated validity period;

  • vouchers have no cash value;

  • vouchers cannot normally be exchanged for cash;

  • vouchers may be used subject to availability;

  • promotional vouchers may have additional conditions; and

  • a voucher does not guarantee availability for any specific date, time or activity.

Where a voucher has been issued as customer credit following a customer-requested cancellation, amendment or goodwill arrangement, it cannot subsequently be converted into a cash refund unless required by law.

Lost or deleted vouchers may be reissued where we can reasonably verify the original purchase or issue.

Any statutory cancellation or consumer rights applying to the original purchase of a voucher remain unaffected.

20. Customer Credit

Where we issue customer credit, we may specify:

  • the value of the credit;

  • its validity period;

  • experiences for which it may be used;

  • whether it can be used across multiple bookings; and

  • any other reasonable conditions.

Customer credit:

  • has no cash value;

  • is not normally refundable;

  • cannot normally be withdrawn as cash; and

  • may only be used in accordance with the conditions under which it was issued.

Where customer credit is provided as a discretionary alternative to a refund following a customer-requested cancellation, booking amendment or other change, acceptance of that credit constitutes acceptance of the alternative arrangement.

This does not affect rights which cannot legally be excluded.

21. Discounts, Promotional Codes and Special Offers

Promotions may have specific:

  • eligibility conditions;

  • booking windows;

  • redemption periods;

  • excluded dates;

  • excluded experiences;

  • minimum group sizes; or

  • other restrictions.

Unless the promotion expressly states otherwise:

  • offers cannot be combined;

  • discount codes have no cash value;

  • discounts cannot be retrospectively added to completed purchases;

  • promotional availability may be limited; and

  • discounts apply only to qualifying bookings.

Where a discount has been obtained through materially inaccurate information or deliberate misuse of a promotional code, we may remove the discount and require payment of the correct price before participation.

We will not retrospectively withdraw a valid promotion from a confirmed booking which complied with the published conditions when it was made.

22. Changes or Cancellations by Us

Occasionally, we may need to change, interrupt, relocate or cancel an experience.

This may happen because of matters including:

  • technical problems;

  • equipment failure;

  • staff illness;

  • safety concerns;

  • power or utility failure;

  • building issues;

  • emergency maintenance; or

  • other operational circumstances.

Where possible, we will take reasonable steps to minimise disruption.

If we cancel your booking and cannot provide the booked service, we will offer an appropriate remedy which may include:

  • rescheduling;

  • an appropriate alternative experience;

  • customer credit; or

  • a refund.

Where you are legally entitled to a monetary refund because we have cancelled or failed to provide the contracted service, you will not be required to accept customer credit or a gift voucher instead.

If a problem occurs during an experience, please tell a member of staff as soon as reasonably possible so that we have an opportunity to investigate and resolve it.

Nothing in these Terms & Conditions affects your rights where a service has not been provided with reasonable care and skill or has otherwise not been provided as agreed.

23. Events Outside Our Reasonable Control

We will not be responsible for a failure or delay caused by an event genuinely outside our reasonable control where we have taken reasonable steps to avoid or minimise its effects.

Examples may include:

  • severe weather;

  • major utility failure;

  • emergency closure;

  • fire;

  • flooding;

  • major transport disruption;

  • governmental action; or

  • comparable emergency events.

If such an event prevents us from providing your experience, we will contact you as soon as reasonably practical and explain the available options.

Nothing in this section removes any refund or consumer right which applies by law.

24. Our Responsibility to You

We have a legal duty to provide our services with reasonable care and skill.

Nothing in these Terms & Conditions excludes or limits our liability where it would be unlawful to do so.

In particular, nothing excludes or limits our liability for:

  • death or personal injury caused by our negligence;

  • fraud or fraudulent misrepresentation; or

  • any other liability which cannot legally be excluded or restricted.

If we fail to comply with these Terms & Conditions, we are responsible for loss or damage which is a foreseeable result of our breach or our failure to use reasonable care and skill.

Loss or damage is foreseeable where:

  • it was obvious that it would happen; or

  • both you and we knew it might happen when the contract was made.

We are not responsible for losses which are not reasonably foreseeable or which were not caused by a breach of duty on our part.

Where you are booking as a consumer, nothing in these Terms & Conditions excludes rights provided by applicable consumer protection law.

Where an experience is booked wholly for business purposes, corporate, commercial or event-specific terms may also apply.

25. Third-Party Websites and Services

Our website may contain links to websites, booking platforms or services operated by third parties.

We are not responsible for the content, availability or operation of third-party websites which we do not control.

Where a third party provides a service directly to you under its own contract, that third party’s terms may apply.

Nothing in this section limits our responsibility for services which we have contracted to provide directly to you.

26. Privacy and Personal Information

We process personal information in accordance with applicable UK data protection legislation and our Privacy Policy.

We may process your contact information where necessary to:

  • administer your booking;

  • process payments;

  • send confirmations;

  • send booking reminders;

  • contact you about changes;

  • manage cancellations or refunds;

  • answer enquiries;

  • investigate complaints;

  • prevent fraud or misuse; and

  • comply with legal obligations.

Operational messages relating to an existing booking are not marketing communications.

We will only send electronic direct marketing where permitted by law.

Where required, customers will be provided with an appropriate opportunity to opt in or opt out of marketing.

Customers can unsubscribe from marketing communications at any time.

Acceptance of these Terms & Conditions does not, by itself, constitute consent to receive marketing.

Further information about how we collect, use, store and protect personal information is available in our Privacy Policy.

27. Complaints

We want customers to enjoy their experience.

If something goes wrong during your visit, please tell a member of staff as soon as reasonably possible.

This gives us the opportunity to:

  • investigate the problem;

  • correct an issue;

  • provide assistance; or

  • otherwise attempt to resolve the matter while you are still on site.

Complaints may also be submitted after the booking using:

Email: dontpanic@thepanicroom.net
Telephone: 01474 450029

Please provide sufficient information for us to investigate, including where possible:

  • booking name;

  • booking reference;

  • date;

  • time;

  • experience; and

  • details of the issue.

Submitting a complaint does not affect your statutory rights.

28. Refunds and Goodwill

Nothing within these Terms & Conditions should be interpreted as creating a general right to a refund where no such right exists.

In particular, refunds will not normally be provided because:

  • a customer changed their mind;

  • a member of the group did not attend;

  • fewer participants attended than booked;

  • the customer arrived late;

  • the customer attended the wrong venue;

  • the customer missed the booking;

  • the experience was shortened because of customer lateness;

  • a customer was refused participation for breaching clearly stated age or safety requirements;

  • a customer was removed because of inappropriate or unsafe behaviour; or

  • the customer requested a change which resulted in a lower-value booking.

Where appropriate, we may choose to offer:

  • customer credit;

  • a gift voucher;

  • rescheduling;

  • transfer to another activity; or

  • another goodwill solution

instead of a cash refund.

Any goodwill gesture is made at our discretion and does not constitute an admission of liability or create an entitlement to the same remedy in another case.

Where the law requires us to provide a refund, replacement performance, price reduction or another remedy, your legal rights will take priority over this section.

29. Severability

If any provision of these Terms & Conditions is found by a court or other competent authority to be invalid, unlawful or unenforceable, that provision will be treated as modified or removed only to the extent necessary.

The remaining provisions will continue to apply.

30. No Waiver

If we do not immediately enforce a provision of these Terms & Conditions, this does not mean that we have waived our right to enforce it later.

Similarly, providing a discretionary exception, credit, refund, rescheduling or goodwill gesture on one occasion does not oblige us to do so in another case.

31. Third-Party Rights

Unless expressly stated otherwise, these Terms & Conditions are between the customer and us.

No other person has a right to enforce these Terms & Conditions under the Contracts (Rights of Third Parties) Act 1999.

32. Governing Law

These Terms & Conditions and your booking are governed by the laws of England and Wales.

If you are a consumer resident elsewhere in the United Kingdom, nothing in these Terms & Conditions removes any mandatory legal protections or rights you may have to bring proceedings in the courts applicable to where you live.
